Who are we?
The Quaker Universalist Group (QUG) is a Quaker Recognised Body of Britain Yearly Meeting.
How we collect information
We collect information about you when you:
• Contact us through email, by post or through social media
• Contact us through our website
• Contact us face to face e.g. at one of our meetings or conferences, or at Britain Yearly Meeting.
We do not collect information about you when you visit our website unless you use the contact form to contact us. We do not use cookies.
The types of personal information we might hold about you
• Your name, postal address, email address and phone numbers
• Whether or not you are willing to be contacted by other QUG members
• Your bank details (if you are paying for membership by standing order)
• Your previous membership history
If you are taking part in an event we may also collect other information e.g. medical information and details of accessibility needs.
Using your personal information
We use the information we hold about you for the following purposes when it is in both your and our legitimate interests to do so:
• To send you our newsletter
• To send you our journal
• To administer our meetings and conferences
• To contact you for some other QUG-related reason
How long we keep your information for
We hold your personal information on our systems for as long as is necessary for the relevant activity, for example:
• We keep a record of your membership details until you tell us you no longer wish to be a member of QUG or until we believe we are no longer able to contact you
• We keep a record of your address until you no longer wish to or are unable to receive our newsletter.
How do we protect your information?
We keep paper copies in discrete paper files at the homes of committee members who need to use the information. Any papers that need to be destroyed are shredded.
Electronic records are kept by committee members who need to use the information. We take measures to ensure security of data such as password protection and up-to-date anti-virus software. Electronic records are deleted when they are no longer necessary for QUG purposes.
When we send you messages via our e-mail network we use a system that does not reveal your e-mail address to other group members.
We do not pass on your details to people outside the QUG committee without your prior permission.
We never sell or exchange your personal information with other organisations for marketing purposes or fundraising. We never contact you directly for either of these purposes.
Data Protection (Rights of Access)
You can ask us to stop using your information for any of the purposes listed above at any time. You can request to see the information we hold about you at any time and ask us to correct any inaccuracies. Please contact us at contact@qug.org.uk
If you are not happy with the way we have processed your data you can make a complaint to us (at the above contact details). Furthermore, if you are not happy with our response you have the right to lodge a complaint with the UK’s Data Protection Authority, the Information Commissioner’s Office, at https://ico.org.uk/. What if you are under 18?
If you are under 18, please make sure that you obtain your parent/guardian’s permission beforehand whenever you give us your personal information.
